Traceability, Bidding, and Service Management with Business Central

Medical ERP software is a solution that brings together the processes of tendering, purchasing, serial/lot-based traceability, consignment inventory, installation, technical service, and public billing for companies supplying medical devices and consumables in a single system. Microsoft defines the tracking of product movements in the medical supply sector as a legal requirement, and Business Central provides this traceability with an infrastructure that works across the entire application. Navapp's MedicalApp vertical solution adapts this infrastructure to the medical business model in Turkey.

What makes ERP challenging in the medical sector?

  • Revenue comes from tenders: A poorly prepared tender will turn into a loss in the long run.
  • Equipment ownership is complex: Owned, leased, and consigned equipment are all present on-site simultaneously.
  • Specification obligation: Maintaining the device in 100% working order is a requirement of the contract.
  • Serial and lot requirements: Every device and consumable must be tracked with its serial/lot number and expiration date.
  • Public billing: SUT calculations and tenders for kits differ from standard accounting.

What solutions does Business Central offer to the medical sector?

1. Traceability of serial number, lot, and expiration date.

The item tracking infrastructure incorporates Serial Number, Lot Number, Expiration Date, Warranty Date, and Package Number fields into purchase, production, transfer, and sales documents. When warehouse tracking (SN/Lot Warehouse Tracking) is enabled on the item tracking code, this information becomes mandatory in warehouse activities as well. Products with serial and lot numbers can be traced both backward and forward in the supply chain; Microsoft positions this tracking for quality assurance and product recall scenarios.

2. Quality and improper product management

With the Quality Management add-on, automatic inspections are activated during goods receipt, non-conforming lots are blocked, moved to quarantine shelving, or returned to the supplier; and tracked with a non-conformity report.

3. Service Management and field device tracking.

Business Central's Service Management (Premium) features include service call scheduling, service order management, repair part and consumable tracking, technician assignment based on skill and availability , service estimation/invoicing, service contracts, and route maps for service personnel. Default response times, failure reporting levels, and warranty validity periods are defined during setup. When generating bulk service orders from contracts, it is also possible to choose to create separate work orders for each service item.

4. Installation and commissioning with the Projects module.

Installation tasks can be managed through the Projects (Jobs) module with task and scheduling lines; resource allocation, timelines, and WIP (Work Input Incentive) calculations allow for separate tracking of project costs and revenue.

5. Warehouse, shelving and barcode

In advanced warehouse configuration, shelf/zone management, placement templates, and shelf sequencing optimize picking and placing. The Business Central mobile application speeds up serial and lot entry by reading 1D/2D barcodes using the device camera.

MedicalApp: Business Central adapted for the medical sector.

Business Central's standard capabilities provide a strong backbone; however, it alone cannot meet the tender, kit-based, and SUT (Health Services Pricing) processes of the medical
